INTRODUCING VIRTUAL VERIFICATION
This new process is:
- Mobile-friendly
- Eliminates paper forms for its users
- Accessed in MyGCC Student Center under the To Do Section. Look for the Link to "Virtual Verification" to begin the process
Student Forms utilizes Single Sign-On (SSO), so a separate username and password will not need to be created for students. Once students have successfully signed in, they will be prompted to confirm some information. When confirming their information, the information must be entered EXACTLY as it was entered on the FAFSA.

In the Confirm Student Information section (Figure 2), you must MATCH the following information as it appears on your FAFSA/CADA:
First name
Last name
Date of birth
Social security number or Dream ID number*
*NOTE: For students who completed the Cal Dream Act Application (CADA) students are provided a nine-digit Dream ID number when they complete the application and it usually starts with 000. This Dream ID is used in place of the Social Security Number. Students must use this Dream ID, instead of Social Security Number when creating their account in Student Forms.]
Please Note (Figure 2):
1. The above fields are required in order to verify your identity and link your account with the FAFSA/CADA that was imported into our system from the Department of Education. Some of the information might be pre-populated with Single Sign-On (SSO), such as email and Student ID.
2. These identifying fields must match the FAFSA/CADA exactly for an account to be created.
3. FAFSA only students: You will not be able to create an account if your Social Security Number does not match with the Social Security Administration for any of the identifying fields.
- If a student has a Social Security Administration mismatch due to an incorrect SSN on their FAFSA, the student MUST complete a NEW FAFSA and GCC has to receive the new FAFSA before their account can be created (this can take up to 3-5 business days once updated by the student).
- If your name has been transposed (first name, last name switched) you must complete a NEW FAFSA.
4. Student ID – This field is optional.
5. Phone number – IF you enter a phone number on the above screen you are opting into receiving text messages for account updates. Also note, standard text message charges apply.
6. Confirm ALL your information before you click on ‘Register Account’.
Additional NOTE:
- After the student has created their account, they will receive an account confirmation email with a link to verify their email address.
- If the student does not verify their email address, they will not be able to use the ‘Forgot Username/Password’ links on the login page.
- If the student has forgotten either their username or password and has not verified their email, the school user can re-send the ‘verify email’ through the view settings button on the student's account page.
- Students with this issue will need to call FA office to have the ‘verify email’ resent.
Error Code 1010 - contact the Financial Aid Office during normal business hours for assistance:
Error Code 1010 indicates that the student is entering information into the confirm information section – Figure 2 (First Name, Last Name, DOB, and SSN) that does not match what is on the most recent FAFSA/CADA.
- Not including suffixes (ex: Charlotte Jr)
- Using a nickname (ex: Char)
- Special characters (ex: Char’lotte vs. Char`lotte)
Error Code 1011 – contact the Financial Aid Office during normal business hours for assistance:
This message appears in the following situations:
- You used a shared computer (computer lab, library, etc.) and the person using the computer prior to the student did not fully log out of their session on the computer.
- The student has a sibling/spouse/parent/roommate who also attends the institution and the other person did not fully log out of their school account.
- The student used a school employee's computer and the school employee was logged into their session.
Error Code 1005:
Indicates there is an SSN mismatch:
- ISIR is rejected due to no SSN match with SSA
- C Code for an SSA mismatch on Name, DOB, or SSN
Failed Login – error message:

You do not have Permission – error message:
If the school or student receives a message that they do not have permission to access the site this may indicate an issue with the SSO Claim information being sent to student Forms. School users should take a screenshot of the error and have the customer support administrator for their school open a ticket with support. Support will research and determine the issue with the SSO Claims information being sent.
Please note: If the student is not able to log into the school's portal, this is an issue that the school IT will need to resolve. If the student receives an error message after they have logged into the school's portal and tried to navigate to StudentForms, please open a ticket and include a screenshot OR staff should contact IT and open a ticket.
In order for a parent to create an account, a student must request their e-signature on a document within Student Forms (Figure 3).

A student selects which parent they would like to sign the document and inputs their parent’s email address and the parent is sent a link to create an account (Figure 3).
If a student cancels the request for an e-signature, the parent will be unable to create an account until the student sends the request (Figure 4).

From the email sent to the parent, they are sent directly to the ‘Secure Parent Login’. Parent will need to “CREATE ACCOUNT” (Figure 5).

Parents will need to select ‘Create Account’ button from the login page to be taken to the ‘Create Parent Account’ page where they will input their preferred email (2 parents cannot use the same email address), select a username and password (Figure 6).

They will also be asked to confirm their information and this information must match exactly what is listed on the FAFSA (Figure 7).

Parent(s) will then be asked to confirm which student they are signing forms for and must provide information for their student that matched the information on the FAFSA. (Note: ‘parent’s first name’ ONLY requires initial, as this is how it is entered on the FAFSA. Finally, the parent must select the ‘Create Account’ button (Figure 8).

- When a parent creates an account, they will receive a confirmation email with the subject “ACTION REQUIRED-Email Verification”.
- Within this email, there is a link for the parent to verify their email address, similar to when a parent creates an FSA ID.
- If a parent does not verify their email address, they will not be able to use “Forgot Username/Password” links on the login page.
Occasionally, we will need to resend the email verification link, which can be done by clicking the edit box in the parent information section (Figure 9):

Once an account has been successfully created, the parent will view the document the student requested their signature on.
The parent will need to select “Preview” to view the full document when they log-in.
The “Form Not Approved” and “Opt Out of E-Sign” are information buttons only (Figure 11):
- The “Form Not Approved”, lets the parent know if there are corrections needed, the student must make the corrections.
- The “Opt Out of E-Sign” button lets the parent know if they do not want to e-sign, their student must also opt out of e-sign.
If everything looks correct, the parent enters their password into the e-sign password box and clicks ‘e-sign’ (Figure 11).
The parent will receive a success message when the e-signature is applied:

Students will use their SSO information, so if a password reset is needed for their SSO, they will need to contact the Admissions and Records office (via email ONLY) as they normally would to reset their MYGCC password
