Census and Submission of Grades (Credit Instructors Only)

  • Your Census Roster tells the state how many students are in your class, which determines the funding GCC receives. Submitting it on time every semester is mandatory.
  • For a 16-week course in a regular semester, the census window is the first three days of Week 3. You must submit your Census Roster within that three-day window. Short-term, late-start, and summer courses have different census dates, so check the academic calendar for your specific section.
  • Failure to submit the Census Roster may result in your not being rehired to teach at GCC. Mark your calendar and read the reminder emails carefully.
  • Once the census window opens, the Census Roster appears with your other class rosters in PeopleSoft. The census date falls just after the last day to add. See A&R Important Dates for the current term's deadlines.
  • You must enter your grades by 11:59 p.m. on the Tuesday after the last final exam day of the term.

Positive Attendance and Submission of Grades (Noncredit Instructors Only)

  • Noncredit courses are funded by positive attendance, which means GCC is credited for the hours students actually attend, not for how many students are enrolled. Your attendance records are the entire basis for that funding, and they must be accurate enough to support a state audit.
  • Record attendance at every class meeting, for every student, for the actual time each student is present. Do not record hours for a student who was absent, and do not reconstruct hours from memory later in the term.
  • Submit your attendance records by the deadline for every reporting period. Late or missing records cost the college funding for hours your students genuinely earned. 
  • Noncredit grades are due on the date given in your division chair's beginning-of-semester memo. This is not the same deadline as credit courses, so use the date in the memo rather than the credit grading calendar.
  • If you are not sure how to record or submit attendance for your course, ask your division chair or your division's administrative assistant before your first class meeting rather than after.

Credit Instructors

  • If you will be late to class or absent, report it to the GCC Faculty Absence Reporting Line: 818-246-5094. Save this number in your phone now so you have it when you need it.
  • Report the absence even if all of your students already know class is canceled. The call is what creates the record used for sick leave and payroll.

Noncredit Instructors

Because noncredit courses run on positive attendance, your division may need to arrange a substitute. Call and email your administrative assistant as soon as you know you will be late or absent:

Check Your Email Regularly

  • Email is the easiest way for students and colleagues to reach you. Check your GCC email regularly and respond promptly. When students cannot reach you, they tend to contact the administration instead.
  • Use your GCC email address for all GCC correspondence. Information Technology Services can help you set up email on your phone or forward it to a personal account.
  • GCC sends a high volume of events and announcements, and it can be a lot to keep up with. You do not need to read everything, but always read and reply to email from:
    • Your division chair
    • Your division's administrative assistant
    • Your faculty mentor, if you have one

  • Make sure your syllabus includes every item the college requires. See Syllabus and Final Exam Schedule for the full list and for the final exam policy.
